Restaurant Day-End Closing Checklist: Cash, Card and UPI Reconciliation
Short answer: At day-end, settle or carry forward every open table, then compare what the POS says you took with what you actually hold: count the cash drawer, match card totals to the terminal settlement and UPI totals to your bank or UPI app. Investigate any gap the same night, review voids and discounts, and save the report.
Why close every day
A gap found the same night has a short list of possible causes: a wrong payment mode, a missed bill, a cancelled item. The same gap found at month-end is almost impossible to explain. A ten-minute daily close is the cheapest control a restaurant has.
The checklist
- No open tickets. Every dine-in table, takeaway and delivery should be settled. If one must stay open, note why.
- Pull the day-end summary from the POS: total sales, number of bills, average bill, and the split by payment mode.
- Count the cash drawer. Subtract the opening float. The result should equal POS cash sales.
- Settle the card terminal and compare its batch total with POS card sales.
- Check UPI. Compare POS UPI sales with the UPI app or bank statement for the day. Watch for payments recorded as UPI that were actually cash, and the reverse.
- Review discounts and voids. Who gave them, on which bills, and why. Unusual patterns are the first sign of leakage.
- Check out-of-stock items and reset availability for tomorrow.
- Save or send the report to the owner, even if the owner was there.
The usual causes of a mismatch
- Wrong payment mode selected at settle (UPI tapped, cash taken).
- Split payments recorded as a single mode.
- A bill settled twice, or a table closed without settling.
- Change given from the drawer for non-sales reasons without a note.
Useful numbers to watch over time
Average bill value, bills per day, and the share of each payment mode. Trends matter more than single days: a falling average bill may mean upselling has stopped; a sudden jump in cash share may need a closer look.
Day-end in DeskoPOS
DeskoPOS shows sales, average bill and the cash / card / UPI / wallet split, ready when you close, and records the payment mode on every bill so reconciliation is a comparison, not a hunt. Related: GST on restaurant bills. See it in the live demo.
Frequently asked questions
How often should a restaurant reconcile cash, card and UPI?
Every day at closing. Gaps found the same night are far easier to explain than gaps found at month-end.
What should a day-end restaurant report include?
Total sales, bill count, average bill, sales by payment mode (cash, card, UPI, wallet), discounts, voids and any open tickets.
Why does UPI not match my POS total?
Usually because a payment was recorded under the wrong mode, a split payment was recorded as one mode, or a bill was settled twice. Check those first.
