QR Code Table Ordering for Restaurants: How It Works and How to Set It Up
Short answer: QR table ordering puts a unique QR sticker on each table. A guest scans it with their phone camera, sees your live menu, picks dishes and sends the order. The order arrives in the POS tagged with the table number, staff confirm it, and it goes to the kitchen as a normal KOT. No app download is needed.
How a QR order travels
- The guest scans the sticker on their table. The QR code holds a web link that includes the table identifier.
- Your menu opens in the phone's browser, showing only dishes that are currently available.
- The guest adds items and notes and sends the order.
- The order appears in the POS on that table. Staff review and confirm it.
- The confirmed items go to the kitchen as a KOT, exactly like a staff-taken order.
When QR ordering helps
- Short-staffed floors, where guests wait to be noticed before they can order.
- Repeat orders: the second round of drinks or extra rotis, without waving for a server.
- Large menus that are easier to browse with photos and categories on a phone.
- Cafés and quick-service outlets where guests already expect to self-serve.
When it does not
Fine-dining service, older guests who prefer to talk to staff, and tables with poor mobile signal. Treat QR as an extra channel, not a replacement for staff. Keep printed menus available and let servers take orders as usual.
Setup checklist
- Clean up your menu first. Clear names, categories, veg / non-veg marks and correct prices. The QR menu is only as good as your POS menu.
- One QR per table, matching the table numbers on your POS floor plan.
- Durable stickers placed where a phone can scan them without moving plates.
- Keep availability live. When a dish runs out, mark it unavailable in the POS so guests cannot order it.
- Decide who confirms. Usually the captain or counter staff confirms each QR order before the KOT fires.
- Brief staff on what a QR order looks like on screen and how to handle changes.

Frequently asked questions
Do guests need to download an app for QR ordering?
No. The QR code opens a web page in the phone browser, so any smartphone camera works.
Can guests order dishes that are out of stock?
Not if the POS menu is kept current. Marking a dish unavailable in the POS hides or greys it out on the QR menu.
Does QR ordering replace waiters?
No. It works best as an extra channel for quick and repeat orders, while staff still take orders and confirm QR orders before they reach the kitchen.
